Starting Your Aesthetics Business - Part Five - Establish Processes & Systems

“My business is too small to set up online booking.”

“It’s too soon for me to take deposits”

“I’m only treating family and friends, so I can just use paper forms.”

“I don’t want to take card payments”

These are common phrases I hear from practitioners. And all that these phrases demonstrate is that the practitioner is not ready to have a business…their mindset is one of aesthetics being a side hustle.

Setting up systems and processes from the start (when you have time!) is far easier than setting these up when you realise you really need them because one more WhatsApp asking “Can you fit me in tomorrow?” will send you over the edge!

You’re accustomed to booking and notes systems not only being in place, but being maintained and paid for by someone else, but as a solo practitioner you will need to think about and put these into place yourself.

In order to put proper processes in place, you need to fully understand the journey your patients go through. From first finding out about you on social media, by word of mouth or any of the other many marketing channels available, to stepping out of your clinic with their post-procedure advice. This isn’t just about you making your life easier, it’s about making the every interaction with you and your business clear, easy and straightforward.

Fundamentally, any task that you anticipate you will do week-in, week-out needs a process or system in place, so you are not spending time and effort on low value, repetitive tasks.

Not only does having these automations in place save you time, but it also improves efficiency, increases your margins and allows you to actually focus on your business.

The kinds of things you need to consider include:

🗓️ How will people book in?

📝 How will you sort forms?

📸 Where will you store photos?

🔐 How will you store sensitive info?

💬 How will you send reminders?

⭐️ How will you collect reviews?

💷 How will you take payment?

Don’t cross these bridges when you get to them, figure them out first and put a system in place to deal with them.

If you choose the right software - shameless plug - much of this will be done for you.
